Epicure Greece is a luxury travel designer and boutique destination management company (DMC) based on Santorini. For in-house event teams and MICE agencies we design and operate incentive travel, executive offsites and corporate retreats across the Greek islands: venues and hotels, transport by road, sea and air, dining, rare access, and one host who stays with the group from first arrival to final departure. Our corporate clients come from medical supplies and equipment, technology, finance and legal services.

How an RFP works with us

The brief
It starts with a video consultation of about thirty minutes. Send dates, headcount, objective and budget frame; a written RFP works just as well. We ask the questions that matter early.

The proposal
You get a program built around named venues and hotels, full logistics, and a line-by-line budget. Real availability, not a brochure.

We refine the program with you: swap venues, rebalance the agenda, tighten the budget until it reads exactly like your event.

The operation
One Epicure host runs the program on the ground, end to end: arrivals, transfers, dinners, contingencies. Your team gets to attend their own event.

I have been put in charge of organising the company retreat. Where do I start?
With a video consultation of about thirty minutes. Bring what you know: roughly how many people, roughly when, and what the trip is for. You do not need dates, a budget or a destination decided; most people who call us have one of the three. We come back with a program built around real availability, and you take it from there.

We want to bring the team together and our dates are flexible. Is that enough?
Yes, and flexible dates are worth money. An approximate headcount and a rough window are enough to start. Greece has a real season, so moving a program by two weeks can change what a venue costs and whether the island you want is quiet or full. Tell us the headcount, the window and the objective, and we will tell you which weeks inside it give you the best program for the same budget.

What does a DMC do that a travel agency does not?
A DMC, short for destination management company, is what the trade calls a luxury travel designer that works on the ground in the destination itself. We hold the local relationships, contract the venues, hotels, boats and drivers, and staff the program while it runs. A travel agency sells you a trip; a DMC operates it in place, hour by hour.

Group size is not the constraint. We have run intimate retreats of fifteen in Mykonos and corporate programmes of a hundred and thirty guests. Tell us the headcount and you will get a straight answer on whether it works for your dates, not a stretched one.

When is the best season for a corporate offsite in Greece?
May to June and September to October are the strongest windows for corporate groups: warm sea, hotels and venues fully open, and islands calmer than in peak summer. July and August can suit a program built for high season, while many island venues close for winter. We will tell you plainly when a date works against you.

How do you respond to an RFP?
You send the brief: dates, headcount, objective and budget frame. We come back with a full proposal, named venues and hotels, a day-by-day program, logistics and a line-by-line budget. From there we refine it together, then contract it and operate it with an Epicure host on site.

What does an incentive trip to Greece cost?
Programs run from about EUR 700 to EUR 1,500 per person per day. Where a program falls in that band depends on the season, the headcount and how the days are built: a five star house on the caldera and a chartered boat sit at one end, a well judged four star and scheduled ferries at the other. Every program is quoted, never sold from a rate card, and the answer to your RFP arrives with a line-by-line budget that is repriced in the open if anything changes.

How do groups fly in?
Santorini (JTR) and Mykonos (JMK) receive direct flights from many European cities during the season, and Athens is the year-round hub with short onward connections to the islands. We plan arrivals around where your group flies from and run every transfer in between. Between islands, groups move by ferry, scheduled flight or private charter.

Why do you run only 7 to 8 journeys a year?
Because deliberate scale is the product. Every journey gets the same senior team and a host who is not juggling three other groups at once, which is how a corporate group of forty gets looked after like a single guest. When the calendar is full, we say so.
